Data Sharing Summary

What this is about

Bath & West Community Energy (BWCE) and Bath & North East Somerset Council (B&NES) are working together on the Listed Building Energy Assessment and Planning Advice service. Officers from both organisations will visit homes to give consistent advice on energy efficiency and planning. This service is booked as a package through Bath & West Community Energy. 

Who is involved

  • Joint Data Controllers: BWCE & B&NES – they decide how and why personal data is used.

  • Data Processor: Retrofit West CIC – partners with BWCE on energy surveys, providing BWCE with the Home Energy Efficiency Plan (HEEP) tool that is used for the energy assessments and running occasional reviews of BWCE’s reports.

  • You: the “data subject” – the householder receiving advice.

What data we collect

  • Your contact details (name, address, phone, email).

  • Technical information about your home (energy use, ventilation, building type).

  • Occupancy patterns (number of people living in the house, general use of rooms).

  • Information from the site visit (e.g. photographs taken on site)

  • Publicly available information such as archive records, planning history, sales details, etc. This includes any planning information which has already been made publicly available in line with the Data Protection Act 2018.

Why we need it

  • To provide planning and energy advice.

  • To communicate with you about the service (newsletters, updates) if you consent.

  • To allow Retrofit West to check the quality of BWCE’s energy advice.

How your data is used

  • Only for the LBEAPA project or related communications.

  • With your specific consent, data may be used in follow-up publications or case studies as part of the LBEAPA project.

  • Not shared outside the UK without your consent.

  • Only authorised staff will see your data, and it’s stored securely. Your data will not be shared with outside organisations without your further consent.

Your rights

You can:

  • See what personal data we hold about you.

  • Ask for it to be corrected or deleted.

  • Withdraw consent for data sharing at any time.

  • Object to or restrict processing.

How long we keep your data

  • Contact details: up to 6 years unless you continue engaging with the service.

  • Advice records: retained according to each organisation’s data protection policy.

  • If you withdraw consent, we will delete your data promptly unless the law requires otherwise.

Data safety

We take strong measures to protect your data from loss, theft, or misuse. If a data breach happens, we will act quickly and inform you if required.

By taking part in LBEAPA, you consent to your data being shared and processed as described. You can withdraw this consent at any time.
